These Terms of Service (“Terms”) govern your use of the website at concordiafloors.com (the “Site”) and the flooring supply, measurement, delivery and installation services (collectively, the “Services”) provided by Concordia Floors LLC, a Washington State business serving the greater Seattle area (“Concordia Floors”, “we”, “us” or “our”).
By using the Site, requesting a quote, placing an order, scheduling an installation, or opting into our SMS messaging program, you agree to these Terms. If you do not agree, please do not use the Site or our Services.
1. Services
Concordia Floors supplies and installs floor coverings — including broadloom carpet, carpet tile, luxury vinyl plank and tile, sheet vinyl and laminate — for multi-family, residential and light commercial customers in King, Pierce and Snohomish counties, Washington. We also supply material on a supply-only basis to customers using their own installers.
The specific products, quantities, scope of work, subfloor preparation and pricing for each engagement are documented in a written quote provided to you before work begins. That written quote, together with these Terms, forms the agreement between us.
2. Quotes, pricing and payment
Quotes are valid for 30 days from the date issued unless stated otherwise on the quote itself. Quotes are based on the information available at the time of pricing; material changes to scope, square footage, product selection, site conditions or schedule may result in a revised quote.
Manufacturer price changes. Where a manufacturer implements a price increase between the date of quote and the date material is ordered, we will notify you in writing before ordering and give you the option to proceed, substitute, or cancel without penalty.
Deposits. Special-order material and larger projects may require a deposit before material is ordered. Deposits are applied to the final invoice and are non-refundable once manufacturer-ordered material has shipped.
Payment terms. Unless a net account has been established in writing, the balance is due on completion. We accept credit and debit cards, ACH, and check. Approved commercial accounts may be invoiced on net terms. Past-due balances may incur a finance charge of 1.5% per month or the maximum permitted by Washington law, whichever is lower.
Disputed charges must be raised in writing within 30 days of the invoice date.
3. Scheduling, rescheduling and cancellation
Installation dates are confirmed in writing once material availability is verified. Lead times quoted for special-order product are manufacturer estimates and are not guaranteed by Concordia Floors.
Installations may be rescheduled or canceled with at least 48 hours' notice without charge. Cancellations inside 48 hours may be billed up to 50% of the quoted labor to cover crew scheduling commitments.
If our crew arrives for a scheduled installation and cannot access or begin work through no fault of Concordia Floors — for example locked units, expired access codes, furniture not moved where the quote assumed it would be, or another trade still working in the space — a trip charge of up to 50% of the quoted labor for that visit may apply, and the installation will be rescheduled to the next available slot.
4. Site readiness and your responsibilities
- Provide access to the property during the agreed installation window, including keys, codes, badges or escort arrangements agreed during scheduling.
- Clear the work area of furniture, appliances and personal belongings unless furniture moving is explicitly included as a line item on your quote.
- Ensure working power, lighting and climate control are available. Most resilient flooring must be acclimated and installed within the manufacturer's specified temperature and humidity range.
- Disclose in advance any known hazardous materials, including asbestos-containing floor coverings or adhesives. Concordia Floors does not perform asbestos testing or abatement; if suspected material is encountered, work stops until it is professionally assessed.
- Secure cash, jewellery, prescription medication, firearms and other valuables before each visit.
- Arrange for the disconnection and reconnection of gas appliances, plumbing fixtures and built-in units where these must be moved, unless quoted otherwise.
5. Measurement, quantities and material variation
Quantities are calculated from a field measure, or from your plans on new construction, and include a waste factor appropriate to the product, pattern repeat and layout. Where we price from customer-supplied dimensions rather than our own measure, the quantity is your responsibility and shortfalls or overages are not chargeable to Concordia Floors.
Color and dye-lot variation. Screen images, photographs and small samples are indicative only. Manufacturers permit reasonable variation in color, shade, gloss and pattern between dye lots and production runs. Where consistency across a property matters, tell us at quote stage and we will reserve material from a single dye lot where the manufacturer allows it.
Attic stock. Leftover material remains the property of the customer where it has been invoiced. We recommend retaining attic stock for future repairs, since dye lots cannot be guaranteed later.
6. Subfloor conditions and moisture
A finished floor is only as good as what sits beneath it. Quotes assume a subfloor that is structurally sound, clean, dry and within the flatness tolerance specified by the flooring manufacturer.
Where conditions found on removal of the existing floor fall outside those assumptions — unlevel substrate, damaged decking, adhesive residue, or elevated moisture — the additional preparation is priced in writing and approved by you before we proceed. We do not perform undisclosed work and then invoice for it.
Moisture. Concrete slabs receiving glue-down product are moisture tested in accordance with the manufacturer's requirements. Where readings exceed the manufacturer's limit, installation cannot proceed until mitigation is carried out. Concordia Floors is not liable for flooring failure caused by moisture originating in the structure, by hydrostatic pressure, by plumbing leaks, or by moisture intrusion after installation.
7. Workmanship and manufacturer warranties
Workmanship. We warrant our installation workmanship for one (1) year from the date of completion. If a defect in our workmanship appears within that period, notify us in writing and we will correct it at no charge. This warranty covers re-performance of the defective work; it does not entitle you to a refund of work that meets the documented scope.
Product warranties are provided by the manufacturer, not by Concordia Floors, and are passed through to you in full. We will assist in filing a manufacturer claim on your behalf.
The workmanship warranty does not cover: normal wear; damage from moisture, flooding or plumbing failure; damage from pets, furniture, castors or dragged appliances; damage from improper cleaning products or methods; fading from sunlight; movement or settlement of the structure; or damage caused by subsequent work by others.
8. Material-only orders
Where you purchase material without installation, Concordia Floors's responsibility ends on delivery of conforming material. You are responsible for inspecting material on receipt, for verifying color and dye lot before installation begins, and for acclimation, subfloor preparation and installation in accordance with the manufacturer's published instructions.
Claims for visible defects, incorrect product or shortfall must be made before installation begins. Manufacturers do not honor appearance-related claims on material that has already been installed. Cut-to-length roll goods and opened cartons are not returnable. Unopened, undamaged stock material in resaleable condition may be returned within 14 days of delivery subject to a restocking fee; special-order material is non-returnable.
9. Limitation of liability
To the fullest extent permitted by Washington law, Concordia Floors's total liability arising out of or related to the Services for any claim shall not exceed the total amount paid by you to Concordia Floors for the project giving rise to the claim. Concordia Floors shall not be liable for indirect, consequential, incidental, special or punitive damages, including lost rent, lost profits, business interruption, delayed occupancy or relocation costs, even if advised of the possibility of such damages.
Nothing in these Terms limits or excludes liability that cannot lawfully be limited or excluded, including liability for gross negligence, wilful misconduct or fraud.
10. Property damage
If our crew damages your property during a visit, notify us in writing within five (5) business days. We will investigate, work in good faith to remedy or repair the damage, and engage our liability carrier where appropriate. Pre-existing damage, normal wear and tear, and damage arising from undisclosed pre-existing conditions are excluded.
11. SMS messaging program (A2P 10DLC disclosures)
This Section 11 governs the text message (“SMS”) communications you may receive from Concordia Floors. A plain-language summary of everything in this section, including the exact consent wording we display, is published on our SMS Opt-In & Consent to Contact page.
11.1 Program name and operator
The SMS messaging program is operated by Concordia Floors LLC and is referred to as the “Concordia Floors SMS Program”. Messages are sent from telephone numbers registered to Concordia Floors under the A2P 10DLC framework administered by The Campaign Registry.
11.2 Categories of messages you may receive
- Quote and estimate notifications — confirmation that your request was received, clarifying questions while we price it, and notice that your written quote is ready.
- Measure and installation scheduling — measure appointment confirmations, install date confirmations, crew arrival windows, and day-before reminders.
- Delivery and material updates — material delivery windows, backorder or lead-time changes, and dye-lot or color availability confirmations.
- Job-site coordination — access, parking and unit-entry coordination on the day of install, and updates if a crew is running ahead of or behind schedule.
- Billing and invoice notices — invoice issued, payment received, and payment failure notices for open accounts.
- Customer support replies — direct two-way replies from our office to a question you started.
We do not use the SMS Program for marketing or promotional offers to non-customers, sweepstakes, lead-generation outreach, third-party advertising, or any content prohibited by carrier policy or the CTIA Messaging Principles and Best Practices.
11.3 How you opt in
You opt in to the SMS Program in one way only: by affirmatively checking the SMS consent checkbox on one of our website intake forms before you submit it. The checkbox is unchecked by default — you must check it yourself. The intake forms that present the SMS consent checkbox are:
- the Request a Quote form
- the Contact form
This is the only method of enrollment. We do not opt you in through a phone call, a signed quote, an in-person interaction, or any other channel. Consent to receive SMS messages is not a condition of purchasing any product or service. You can request quotes, order material and schedule installations entirely by email or in writing.
When you opt in we record the consent wording displayed, the page URL, the form name, and the timestamp alongside your record as proof of opt-in.
11.4 Opt out — reply STOP
You may cancel the SMS Program at any time by replying STOP to any message we send. After you reply STOP we will send one final confirmation message; no further messages will be sent unless you opt in again. Other accepted opt-out keywords: STOP, END, CANCEL, UNSUBSCRIBE, QUIT.

11.5 Help — reply HELP
For help, reply HELP to any message, or email concordiafloors@gmail.com. Replying HELP returns our business name, the categories of messages we send, and a reminder that you can text STOP to unsubscribe.
11.6 Message frequency
Message frequency varies based on your relationship with Concordia Floors and the stage of your project. As a general expectation:
- Quote requesters typically receive 1–3 messages while your quote is being prepared.
- Active single-job customers typically receive 2–6 messages per project, concentrated around measure and install.
- Multi-unit and recurring trade accounts typically receive 1–4 messages per week during an active turn schedule.
11.7 Message and data rates
Message and data rates may apply. Concordia Floors does not charge for SMS messages, but your mobile carrier may charge you for sending or receiving them depending on your plan. Contact your wireless carrier for details. Concordia Floors is not responsible for delayed or undelivered messages caused by carrier issues, network outages or device settings.
11.8 Supported carriers
The SMS Program is available on most major U.S. wireless carriers, including AT&T, Verizon, T-Mobile, U.S. Cellular, Boost, Cricket, Metro by T-Mobile and others. Carriers are not liable for delayed or undelivered messages.
11.9 Privacy of SMS information
Phone numbers and SMS opt-in information collected by Concordia Floors will never be sold, rented or shared with third parties or affiliates for marketing or promotional purposes. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes at any time. Sharing for the limited purpose of operating the SMS Program — such as transmitting messages through our SMS service provider — is described in Section 7 of our Privacy Policy.
11.10 Age requirement
The SMS Program is not directed to individuals under 13. By opting in you represent that you are at least 13 years old and are authorized to enroll the phone number you provide.
11.11 Changes to the SMS Program
Concordia Floors may modify or terminate the SMS Program at any time. Material changes to these SMS terms will be posted on this page and on the SMS Opt-In page and, where reasonably possible, communicated by SMS to active subscribers before taking effect.
12. Intellectual property
The Site, including its text, graphics, logos, photographs, product imagery and code, is owned by Concordia Floors or its licensors and is protected by U.S. and international copyright and trademark law. You may not reproduce, modify, distribute or create derivative works without our prior written consent, other than reasonable personal or business use of the Site for the purpose of evaluating or engaging our Services.
Product names, collection names and manufacturer trademarks referenced on the Site remain the property of their respective owners.
13. Acceptable use of the site
You agree not to: (a) use the Site to harvest data, run automated scrapers, or impersonate any person or entity; (b) use the Site in violation of any law; (c) attempt to gain unauthorized access to any part of the Site or its underlying infrastructure; or (d) submit false, misleading or fraudulent information through any form on the Site.
14. Third-party services and links
The Site may link to or embed content from third-party services. We are not responsible for the content, terms or privacy practices of those third parties, and your use of them is governed by their own terms.
15. Governing law and disputes
These Terms are governed by the laws of the State of Washington, without regard to its conflict-of-law principles. Any dispute arising out of or related to these Terms or the Services shall be brought exclusively in the state or federal courts located in King County, Washington, and the parties consent to the personal jurisdiction of those courts.
Before commencing any legal action, the parties agree to first attempt to resolve the dispute informally by contacting us at concordiafloors@gmail.com for at least thirty (30) days.
16. Changes to these terms
We may update these Terms from time to time. The “Last updated” date at the top of this page reflects the most recent revision. Continued use of the Site or our Services after changes are posted constitutes acceptance of the updated Terms. Material changes affecting the SMS Program are communicated as described in Section 11.11.
