Concordia Floors LLC (“Concordia Floors”, “we”, “us” or “our”) respects your privacy. This Privacy Policy describes how we collect, use, disclose and safeguard the information you provide when you visit concordiafloors.com (the “Site”), request a quote, order material, schedule an installation, or interact with our SMS messaging program.
Concordia Floors is a Washington State business serving King, Pierce and Snohomish counties.
SMS and mobile information — in plain language
Phone numbers and SMS opt-in information collected by Concordia Floors will never be sold, rented, or shared with third parties or affiliates for marketing or promotional purposes. The mobile information you give us is used only to operate the SMS messaging program described in Section 7 of this policy and Section 11 of our Terms of Service.
1. Information we collect
1.1 Information you provide directly
When you contact us, request a quote, place an order or engage our services, we may collect:
- Identifiers — your name, company or property name, email address, mailing address, job-site address and ZIP code.
- Phone numbers and SMS consent — your phone number and, if you opt in to SMS, your consent. SMS consent is captured only by the unchecked SMS consent checkbox on one of our website intake forms. We do not capture SMS opt-in by phone, in person, or through a signed quote.
- Project details — property type, unit count, square footage, target install dates, product selections, subfloor conditions, access and entry instructions, and any notes you provide.
- Payment information — billing contact, billing address and payment method. Full card numbers are processed by a PCI-compliant third-party payment processor; we do not store full card numbers on our servers.
- Communications — copies of emails, text messages and other correspondence you send us, and records of phone calls where permitted by law.
1.2 Information collected automatically
- Device and browser information (browser type, operating system, screen size, language).
- IP address and the approximate geographic location derived from it.
- Pages viewed, time on page, links clicked and referring URLs.
- Cookies and similar technologies (see Section 6).
1.3 Information from third parties
We may receive information about you from public sources (such as a business profile when you leave a review) or from service providers acting on our behalf (such as our payment processor or SMS service provider).
2. How we use information
- Respond to enquiries, prepare quotes, order material, schedule measures and installations, and invoice completed work.
- Send transactional and operational SMS messages, emails and phone calls related to your project (see Section 7).
- Maintain records of material supplied, dye lots and installation dates so we can support warranty claims and match future work on the same property.
- Operate, maintain, secure and improve the Site and our services.
- Comply with legal obligations, protect our rights and prevent fraud.
We do not use your information for cross-context behavioral advertising, for automated decisions that produce legal effects, or for marketing on behalf of unrelated third parties.
3. How we share information
We do not sell or rent your personal information. We share information only as follows:
- Our crews and estimators — limited to what the people assigned to your project need, such as the job-site address, access instructions and scope notes.
- Manufacturers, distributors and freight carriers — where necessary to order material and arrange delivery to your job site.
- Service providers operating on our behalf — our SMS service provider, payment processor, scheduling and CRM software, hosting and email providers. These providers are contractually bound to use your information only to provide the service to us and to safeguard it appropriately.
- Legal compliance — where we believe in good faith that disclosure is required by law or legal process, or is necessary to protect the rights, property or safety of Concordia Floors, our customers, our team or the public.
- Business transfers — in connection with a merger, acquisition, financing or sale of assets, subject to standard confidentiality protections.
We do not share or sell mobile phone numbers, SMS opt-in data, or SMS message content with third parties or affiliates for marketing or promotional purposes — full stop. This includes lead-generation companies, data brokers, advertising networks and analytics platforms used for advertising. Sharing of mobile information for the purpose of operating the SMS program is described in Section 7.
4. Data retention
We retain personal information for as long as needed to provide our services, support warranty claims, comply with legal and tax obligations, resolve disputes and enforce our agreements. Project records including dye-lot and material details are retained for the duration of the applicable warranty period plus a reasonable period thereafter. SMS opt-in records are retained for the duration of your subscription plus a reasonable period for compliance and audit purposes. You may request deletion as described in Section 8.
5. Security
We use reasonable administrative, technical and physical safeguards to protect the information we collect, including encryption in transit (HTTPS) and limited access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
6. Cookies and analytics
The Site uses cookies and similar technologies for essential functionality (such as remembering form state) and for limited, privacy-respecting analytics about how the Site is used. You can disable cookies in your browser at any time; some features may not work as intended without them. We do not use cookies to track you across third-party sites for advertising purposes.
7. SMS messaging program — A2P 10DLC privacy disclosures
Concordia Floors operates an SMS messaging program (the “SMS Program”) used to communicate with customers and prospective customers about their projects. The full program terms — message categories, frequency, opt-in and opt-out methods, HELP, and message-and-data-rates disclosures — are set out in Section 11 of our Terms of Service and summarized on our SMS Opt-In page. This Section 7 describes how we handle the privacy of mobile information.
7.1 What mobile information we collect
- Your mobile phone number.
- Your opt-in event metadata — the date and time, the intake form on which you checked the SMS consent checkbox, the exact consent wording displayed, the page URL where consent was given, and the IP address used.
- The content of SMS messages exchanged between you and Concordia Floors.
- Delivery metadata supplied by carriers and our SMS service provider (delivered, undelivered, opt-out status).
The intake forms that collect SMS consent are:
- the Request a Quote form
- the Contact form
7.2 How we use mobile information
Mobile information is used solely to:
- Send the categories of messages disclosed in our Terms of Service — quote notifications, measure and install scheduling, delivery and material updates, job-site coordination, billing notices and customer-support replies.
- Demonstrate compliance with applicable law and the A2P 10DLC framework, including maintaining proof of opt-in and honoring opt-out requests.
- Provide customer support and resolve disputes.
7.3 How we share mobile information
Concordia Floors does not sell, rent, lease or share mobile phone numbers, SMS opt-in data, SMS message content, or SMS delivery metadata with third parties or affiliates for marketing or promotional purposes. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes at any time.
The only sharing of mobile information that occurs is the limited operational sharing required to deliver the SMS Program itself:
- Transmission of message content and your phone number to our SMS service provider (and its underlying carriers) for the sole purpose of routing messages to and from your device.
- Disclosure to law enforcement or in response to legal process where required by law.
Our SMS service provider is contractually prohibited from using mobile information for any purpose other than providing the service to Concordia Floors.
7.4 Your choices regarding the SMS Program
- Opt out at any time by replying STOP to any Concordia Floors message. Other accepted keywords: STOP, END, CANCEL, UNSUBSCRIBE, QUIT.
- Get help by replying HELP, or emailing concordiafloors@gmail.com.
- Use Concordia Floors without SMS. Consent to receive SMS is not a condition of receiving our products or services. You can request quotes, order material and schedule installations entirely by email or in writing.
7.5 Message and data rates
Message and data rates may apply depending on your wireless plan. Concordia Floors does not charge for SMS messages.
8. Your rights and choices
Depending on where you live, you may have rights regarding your personal information under laws such as the Washington My Health My Data Act, the California Consumer Privacy Act (CCPA/CPRA), or other state privacy laws. These may include:
- The right to know what personal information we have collected and how we use it.
- The right to request a copy of that information.
- The right to request correction of inaccurate information.
- The right to request deletion of your personal information.
- The right to opt out of “sales” or “shares” of personal information for cross-context behavioral advertising. Concordia Floors does not sell or share personal information for these purposes.
- The right to non-discrimination for exercising your privacy rights.
To exercise these rights, contact us using the details in Section 13. We may need to verify your identity before fulfilling certain requests.
9. Children's privacy
The Site and the SMS Program are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, contact us so we can delete it.
10. International users
The Site is operated from the United States and intended for users in Washington State and the greater Puget Sound region. If you access the Site from outside the United States, you understand that your information will be transferred to and processed in the United States.
11. Third-party links
The Site may link to third-party services such as mapping providers, manufacturer websites and review platforms. We are not responsible for the privacy practices of those third parties, and we encourage you to review their privacy notices.
12. Changes to this policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page reflects the most recent revision. Material changes affecting the SMS Program are communicated as described in Section 11.11 of our Terms of Service.
